Stop guessing what you actually earned this year.

One spreadsheet that tracks your income, expenses, unpaid invoices, and what to set aside for quarterly taxes. You type the numbers. It does the rest.

Sound familiar?

Three questions most freelancers can’t answer on the spot.

“How much did I make this year?”

Your income is scattered across invoices, bank alerts, and a payment app. Adding it up means an evening you don’t have.

“What should I set aside for taxes?”

You picked a number that felt safe. Come the quarterly deadline you find out whether you guessed high or low.

“Who still hasn’t paid me?”

An invoice went out weeks ago and quietly went unpaid. Nothing told you, because nothing was watching.

What would you owe next quarter?

This is the same calculation the Tax Estimator sheet runs on your real numbers. Drag the sliders to see it work.

What’s inside

Seven linked sheets. Nothing to wire up.

Every tab feeds the next one. Log a payment once and the dashboard, the tax estimator, and the invoice tracker all update themselves.

1

Dashboard

Paid income, expenses, net profit, outstanding invoices, and your suggested tax set-aside — plus monthly and by-category charts that redraw automatically.

2

Income log

Every payment with client, invoice number, category, and a Paid / Pending status so nothing counts before the money actually lands.

3

Expense log

Categorised spending with a deductible flag, so tax time is a filter rather than an archaeology project.

4

Invoice tracker

Overdue invoices flag themselves and count the days for you. You stop finding out a month late that someone never paid.

5

Quarterly tax estimator

Quarterly profit multiplied by your own set-aside rate, alongside the typical US estimated-tax due dates for reference.

6

Settings

Your business name, tax year, and set-aside rate — plus every category dropdown, fully editable to match how you actually work.

7

Start Here

A five-minute setup walkthrough and a colour legend. You never have to open a formula, and nothing breaks if you don’t.

How it works

Set up once, in about five minutes.

Step one

Enter three settings

Business name, tax year, and the percentage you want to hold back for taxes. They’re the yellow cells — the only ones you ever need to touch.

Step two

Clear the sample rows

Realistic example data ships with it so you can see the shape of everything, then delete it and start logging your own.

Step three

Log as you go

Money in, money out, invoices sent. Roughly a minute a week — and the dashboard stays current on its own.

Questions

Before you buy

Does this work in Google Sheets?
Yes. In Sheets choose File › Import › Upload, pick the .xlsx and choose “Replace spreadsheet”. The formulas, dropdowns and charts carry over. It’s built in Excel, so Excel is where it looks its best.
Do I need to know spreadsheet formulas?
No. Every calculation is already written and the cells you edit are colour-coded. If you can type into a table and pick from a dropdown, you can run it.
Is this tax advice?
No — it’s a bookkeeping aid. It applies a set-aside rate that you choose to your own profit, and shows typical US federal estimated-tax dates for reference. Confirm your actual rate and deadlines with a tax professional.
Will it work outside the US?
The income, expense, invoice and dashboard sheets are country-agnostic and work anywhere. Only the reference due dates on the tax sheet are US-specific — the set-aside rate itself is yours to set, whatever your jurisdiction.
How many entries does it hold?
200 pre-formatted rows per sheet, with dropdowns and number formatting already applied. Copy a row down if you outgrow it — the formulas extend with it.
Is it a subscription?
No. You pay once, download the file, and it’s yours. It works offline and keeps working whether or not you ever hear from me again.

Know your numbers by the end of the day.

Five minutes to set up, a minute a week to keep current, and no more guessing at what you earned or what you owe.
